Privacy Notice GDPR Day 2020 Online

The organizers of the GDPR Day 2020 process your personal data to manage some aspects of the GDPR Day 2020 online conference on 25th and 26th of May.

We hereby provide the following information based on Article 12 of the General Data Protection Regulation (GDPR).

Who are the processors of your personal data?

The online conference will be operated by OwnCube e.U acting as a processor and a tool BigBlueButton integrated on OwnCube’s servers, as mandated by the GDPR Day organizers. The conference will be broadcasted in a closed YouTube channel, available under the link for participants after registration.

What personal data do we process, who can access it and how long do we keep your personal data?

The GDPR Day broadcasts audio and video from the online conference and publishes them on a closed channel in Youtube for the access of participants who cannot join the conference via the BigBlueButton tool due to technical limitations (max. 100 participants).

  • Only if you are a speaker you will need to switch on your camera and share your screen, as necessary. Alternatively, to avoid the necessity of screen sharing, you can send us your presentation so that we upload it to BigBlueButton and you can access and manage it through the tool. 
  • If you are a participant, we invite you not to switch on your video and audio. Should you decide to do it, this will be under your personal responsibility.
  • If you are a speaker, we will  publish also the agenda of the conference with your name, title, photo and presentation title. We might process other personal data you provide us (hereinafter -“other personal data”), such as presentations etc. 

We will delete event material including reports and audio-video recordings, at the latest after 10 years, so that it will no longer be available online or in directly accessible file systems. 

The GDPR Day will process your chat messages sent to everybody as well as the comments to the translation on YouTube to be able to reply to questions. The chat will not be recorded.

The online webinar tool, beyond video and audio footage and chat messages, collects some other pieces of your personal to be able to provide the service and monitor the utilization, performance, and availability of their tool and servers. You can find related info in the notice from OwnCube.

Under what legal basis do we process your personal data ?

The lawfulness of the processing of personal data for the management of the event is based on the Article 6(1b) of the GDPR.

The lawfulness of the processing of the “other personal data” you provide us with such as presentations etc., is based on Article 6(1a) of the GDPR, i.e. on your consent.

What are your rights regarding your personal data?

You have the right of access to your personal data and to relevant information concerning how we use it. 

You have the right to rectify your personal data. 

Under certain conditions, you have the right to ask that we delete your personal data or restrict its use. 

You have the right to object to our processing of your personal data, on grounds relating to your particular situation, at any time. We will consider your request, take a decision and communicate it to you.

How to withdraw your consent and the consequences of doing this?

As to the withdrawal of the publication of “other personal data” please contact us and we will do it at the latest ten working days after your request.

Please note that withdrawing your consent does not affect the lawfulness of any processing based on your consent before it is withdrawn.

You have the right to lodge a complaint.

If you have any remarks or complaints regarding the way we process your personal data, we invite you to contact us through any contact channel of your choice.

If you are a EU resident, you have, in any case, the right to lodge a complaint with a supervisory authority in your country.
